The customer - Allianz A.S.I.C.

 

Allianz A.S.I.C. is the shared services center for Allianz worldwide.

ASIC (Allianz Shared Infrastructure Services), the IT daughter of Allianz, offers its customers IT for integrated finance solutions. In Germany, it has 1,500 employees and is a 100 percetage douaghter company of Allianz SE.

 

The challenge

 

Among other cross-company processes, ASIC planned the introduction of electronic invoices with certified signatures for internal invoices. The invoices should be provided and dispatched directly from the SAP system in the form of a PDF document with one or more signatures electronically embedded.

 

On account of internal guidelines, a short introduction period was given for the  technologically complex connection and introduction.

 

The solution

 

The project was successfully completed within deadline by the use of SAM Signature.

 

SAM Signature makes no intervention in existing processes - this made a quick changeover much easier. With an easy and comfortable control through the "cockpit", all invoices signed or to be signed can be easily managed.

 

The verification log takes places in the background and is embedded directly in the process. Delivering the invoice can take place with an email with pre-defined text or by file transfer (FTP).

 

Because SAM Signature allows full support of the SAP system landscape, connection to an archive system occurs over SAP standard interface.

 

The standardized and clear interface can be integrated for in-house signing with your own server as well as through a signature portal in SAP.

 

The technological Proof-of-Concept and realization was carried out in the shortest possible time.

 

Benefits to the customer

 

Today, ASIC uses electronic signatures according to legal regulations of VAT and basic conditions of eletronic signatures (SigG2001).

 

Invoices are generated "on-the-fly" as PDFs directly from SAP. The emails for dispatch can be headed directly in SAP and be encoded accordingly.

 

ASIC was able to save considerable legal costs by this introduction. The invoices reach the invoice recipients worldwide within a few seconds. There is no restriction on expansion to other document types.

 

Legal requirements

 

The VAT act of 1st January 2004 states that recipients of electronic invoices are only entitled to deduct tax if the electronic invoice contains a qualified signature and a verification log is generated.

 

Because the verification log is immediately provided, no additional expenses accumulate for the customer.

 

This qualified electronic signature is a technical procedure that guarantees the authenticity of a document.

Implementation "Out-of-the-box".


With SAM signature, customers receive a ready solution, preconfigured, with no additional expenses accumulating.

 

Implementation occurs by loading an SAP transport and an RFC-Server based on Java as window service. Within a few hours, customers can get cracking with their eBilling process.

 

Flexible fit to business structure. 

 

Regardless of the size of the company, structures must be able to be adapted according to market changes. This is also true for EDP systems and accesses to them. User data and authorizations must be efficiently managed and administrated.

 

European and German signature guidelines.

 

The solution guarantees adherence to European and German guidelines in the area of electronic signatures. The basic conditions of electronic signatures (SigG2001) are fulfilled with SAM Signature.
